Your boss has asked you to plan the office’s next event—is there anything more stressful?

There’s a lot riding on the event, in terms of the company’s reputation. Plus, events are a huge expense and investment for the business.

How can you be sure your upcoming event is successful? It helps to know a few tips—keep reading to find five helpful tips to help anyone plan and host an event.

1. Pay Close Attention to Your Budget

When it’s time to plan an event, always start by working out your budget. Whether it’s a conference or a wedding, one common theme among all events is that it’s easy to blow your budget, if you’re not organized.

If you’re event planning for a work conference, keep in mind that the average attendee cost is $1,252. Make a budget spreadsheet and stick to it, checking regularly to make sure you’re on track.

2. Create an Events Team

If you’re a first-time event planner, know that one person can never do it all! You’ll make your life much less stressful if you enlist a team to help you.

Assign each person a task and the event is sure to run smoothly. You’ll want to meet regularly in the lead-up to the event as well, so each person is prepared and understands their responsibilities.

3. Always Have a Plan B

No matter how much you prepare, something is likely to go wrong on the day of the event! To make life easier, always have a plan B.

For example, if your event is hosting an outdoor dinner, make sure the restaurant can accommodate you inside in case it rains. Try to think of possible problems in advance-then come up with a strategy to manage them.

4. Make Sure the Venue Is Easy to Find

If your guests are visiting from out of town, be sure your chosen venue is easy to find—ideally, with parking available. It can be great to pick avenue near the airport if attendees are flying in. 

Make directions and email them to guests in advance so that they can easily find out where to go. Then, put signs in the venue to direct them to the right room—this banner design can help you make signage.

5. Make an Events Kit

On the day of the event, bring along an events kit, containing everything you might need. This should include guest lists, name badges, tape, scissors, and a spare phone charger.
